What every letter says, and why
Each letter covers what IRS Publication 1771 lists for a written acknowledgment, in the layout donors and their tax preparers expect. The notes in the margin are the rules behind each part. Each letter covers what IRS Publication 1771 lists for a written acknowledgment. The notes are the rules behind each part.
Your organization's name, address, and EIN
The name is required. The EIN is not, but donors can use it to look you up in the IRS Tax Exempt Organization Search, so most organizations print it.
Each gift's date and amount, and the year's total
Cash, checks, cards, and online gifts, by date and fund. A written acknowledgment is required for any single gift of $250 or more; listing every gift also gives donors a record of the smaller ones.
The goods-or-services sentence
Pick the one that fits: no goods or services were provided; only intangible religious benefits were provided (for churches); or a description and good-faith value of what the donor received.
A date and a signature
Donors must receive the acknowledgment by the earlier of the date they file their return for the gift year or its due date, including extensions. January 31 is a common sending target. Add a scanned signature, or sign by hand.

Totals that match your books

Gifts of stock or goods
Non-cash gifts need a description and no dollar value, so they are listed for a separate acknowledgment.Listed for a separate acknowledgment, without a dollar value.
Donors with no address

New this tax year: donors who don't itemize may deduct up to $1,000 of qualifying cash gifts, or $2,000 for married couples filing jointly.
Expect more donors to ask for a statement this January, including people who never needed one before. They will need a record of every cash gift (gifts to donor-advised funds generally don't qualify).Expect more donors to ask for a statement this January.

Questions treasurers ask
Do donors who gave less than $250 need a letter?
To deduct any single gift of $250 or more, a donor needs a written acknowledgment from you, and smaller gifts are not added together for that rule. Donors still need a record of every cash gift to deduct it, so most churches send everyone one annual statement.
Is this tax advice?
No. Giving Receipts formats the gifts you give it into letters. Check the totals against your books, and ask a tax professional about anything specific to your organization.
Can I email the letters instead of mailing them?
Yes. Publication 1771 accepts an acknowledgment sent electronically, such as an email addressed to the donor. You get a PDF and a ready-to-send message for each donor.
Does it work with QuickBooks or our online-giving export?
If the report can be saved as CSV or Excel with one row per gift, yes. Export the report that lists each gift with the donor, date, and amount, then upload it.
What about gifts of stock, a car, or goods?
These letters cover cash gifts: cash, checks, cards, and online giving. Non-cash gifts need a description without a value, and vehicles have their own IRS rules, so we list them for you to acknowledge separately.
Where does our donor data go?
Nowhere. Your file is read in your browser and the letters are made there too. If you buy the season pass, Stripe gets your email and card, and we pass it your organization's name and a donor-count range such as 26–100. Nothing about your donors.
